Italy has mandated a two-month advance submission for MICE visas while several Schengen countries tighten processing timelines, signalling stricter compliance norms for Indian travellers amid rising outbound demand.
Ahead of the peak summer travel season, Indian travellers and corporate mobility planners may need to plan significantly earlier for Europe-bound trips in 2026 after Italy mandated a two-month advance submission requirement for group and MICE visa applications, one of several procedural tightening measures emerging across major visa destinations.
VFS Global outlined a series of operational updates across key countries that signal a broader shift toward defined processing timelines, tighter scrutiny of documentation, and reduced discretion in high-volume markets, as part of its interaction with travel trade partners.
The move is part of a broader, system-wide tightening by European missions. At a recent interaction with travel trade partners, VFS Global detailed a shift toward rigid processing timelines, digital-first frameworks, and intensified documentation scrutiny across major hubs.
Italy resets group travel timelines
Italy has introduced one of the most consequential changes for South India. Under the Bangalore consular jurisdiction, which covers Bengaluru, Hyderabad, and Chennai, visa appointments can no longer be booked using an agent’s email ID or phone number.
Applications must now be registered strictly using the applicant’s own credentials, with submissions linked to third-party contact details not being accepted.
More significantly for corporate India, Italy has mandated that MICE (Meetings, Incentives, Conferences and Exhibitions) and group visa applications must reach the consulate at least two months in advance.
The rule effectively eliminates flexibility for last-minute incentive trips, trade delegations and conference travel during peak European travel seasons.
For travel companies and event planners, Europe-bound group travel is increasingly becoming a calendar-driven compliance exercise.
Schengen missions formalise processing timelines
Other Schengen countries have also introduced stricter procedural requirements . Germany will require, from January 2026, that family reunion applicants upload documents through its Consular Service Portal prior to submission.
Hungary has mandated a minimum 15-calendar-day processing period for short-stay visas, reducing the scope for urgent filings. The Netherlands has introduced colour-document submission requirements and indicated processing timelines ranging between 15 and 45 days.
Collectively, these changes suggest a system-wide shift from discretionary handling toward structured, rule-based visa processing frameworks across parts of the Schengen region.
UK moves to fully digital visa framework
The United Kingdom has also completed its transition to a fully digital entry framework. From February 25, 2026, Indian visitors must hold an eVisa linked to their passport through a UKVI account, with airlines required to verify digital authorisation at boarding.
The move replaces physical visa stickers as part of the UK’s phased border digitisation programme. While biometric enrolment continues at visa centres, passports no longer need to be retained during processing.
Expanding mission footprint
VFS Global has also expanded its client government portfolio, adding Montenegro, Moldova, and Algeria to its network in recent months. South Asia remains one of its densest operational clusters, with the company serving 52 client governments through 671 visa application centres and temporary service locations across the region.
Tier-2 demand drives doorstep visa services. The tightening of visa procedures comes even as outbound travel demand spreads beyond India’s major metros.
VFS officials said its Visa at Your Doorstep (VAYD) service, which allows biometric enrolment at an applicant’s residence or office, is seeing strong traction in Tier-2 and Tier-3 markets, including Visakhapatnam and other cities across Andhra Pradesh and Telangana.
Instead of travelling to metro visa centres, applicants can complete biometric submission locally, a model increasingly used by corporate groups, large families and senior citizens. According to the company, VAYD now accounts for a significant share of value-added service uptake among travel agents in several regional markets.
Premium lounge access, after-hours “Prime Time” appointments, courier returns, and SMS tracking services are also gaining adoption among travellers seeking greater flexibility in visa processing., VFS Global officials said .
Early planning becomes critical
For India’s rapidly expanding outbound travel market, spanning leisure travellers, corporate delegations and global business mobility, the tightening of visa timelines underscores a broader shift toward compliance-driven travel planning.
“The message is clear, visa processing across Europe and the UK is becoming more digitised, more time-bound and more compliance-heavy. Early planning and accurate documentation are becoming essential,” A senior executive from a travel industry association said
